The context
A regional wholesale distributor moved real volume every day, but the software underneath the operation was a decade past its prime. The order-entry system at the center of the business had been bolted onto over the years and was now both fragile and isolated — it didn't share data with the tools the team used downstream, so people had become the integration layer.
The broken system
The 12-year-old order-entry system crashed often enough that staff kept paper backups of in-flight orders. Worse, it didn't talk to the systems around it, so every order was entered once at intake and then re-keyed by hand into the next system down the line. That manual re-entry cost hours every week and introduced errors — transposed quantities, wrong SKUs, missed line items — that surfaced later as short shipments and credits.
What we built
We rebuilt the order flow as a custom order portal designed around their catalog and their customers, with the integrations the old system never had. An order is entered once and flows through to fulfillment and invoicing automatically, staying in sync across systems instead of being copied between them. We migrated their data, kept the workflows the team relied on, and rolled it out without stopping the daily order flow.
The outcome
Order errors fell sharply once the same order stopped being typed in two and three times, which cut the short shipments and credits that used to follow. The team got back the hours a week they'd been spending on manual re-entry, and the crash-prone system that used to require paper backups was retired for good.
